Catering
Thank you for being here. Our Arcadia window is where we share house-made soft serve with neighbors and guests. Catering is something we hold a little differently: we lovingly shape ice cream–centered, full-service dessert programs for private occasions—composed moments at the table, attended stations, and the quiet logistics behind them—rather than cones to-go from the window.
The window and your celebration
- Arcadia window
- A cozy spot for soft serve only, with our warm walk-up team and flavors listed on this site’s Menu. We would be so grateful if you peeked at Instagram (opens in new tab) for the latest drops and hours—we love sharing little updates there.
- Catering
- A fuller, ice cream–anchored dessert story for your guests—whether buffet or plated, with gracious staffing, thoughtful toppings and sauces, lovely display, and careful pickup and breakdown—always tailored with care to your headcount, venue, and the rhythm of your evening.
What “full service” might gently include
Each celebration is its own poem—nothing is one-size-fits-all. Below are simply some of the touches we often have the honor of shaping alongside you:
- Dessert stations — ice cream–led compositions with toppings, sauces, and little composed bites; clear service ware and labels so guests feel welcomed and informed.
- Staffed service — kind scoopers and dessert attendants for the window of time you envision, with gentle queue care and a helping hand for anyone who isn’t sure where to begin.
- Menu design — flavors and moods that echo your event (separate from our nightly soft-serve lineup at the window).
- Setup & breakdown — thoughtful arrival windows, table footprint, sanitizer and holding plans, and a tidy farewell so the space feels respected.
- Coordination — we would be glad to align with your planner or venue on timing, load-in paths, and power when our equipment needs a little extra care.
How we might walk beside you
- A quiet read — whenever it suits you, this page helps set a shared understanding of how we serve, where we travel, and what would help us reply with warmth.
- A single, cherished email thread — when you feel ready, the checklist under Say hello is simply our way of gathering the details that let us answer you fully; that thread becomes our gentle working home for your event.
- Discovery — we will reply as soon as we are able with a few caring questions, a rough sense of timing, and whether a brief call might feel helpful on both sides.
- Proposal — scope, staffing, menu direction, and pricing, all confirmed in writing before we would reserve a date on the calendar—so everyone feels clear and comfortable.
Lead times, thoughtful minimums, and deposits vary with the date, guest count, and the shape of your evening—we quote each gathering individually, with transparency and respect.
Place, distance, and the flow of the day
- Where we most often travel — the San Gabriel Valley and neighboring communities we know with affection; farther distances can sometimes be considered with kindness (travel may carry an additional fee—we will always say so plainly).
- Your venue — whether indoors or under the sky, how we may reach you with equipment, and whether dedicated power would help if we bring holding freezers or display pieces.
- Timing — the length of service you imagine, any firm moment for breakdown, and how we may weave alongside your other vendors without stepping on anyone’s toes.
Dietary notes & allergens
We take allergen documentation seriously in the proposal phase, and final ingredient decks are confirmed before we serve. We are not a dedicated allergen-free kitchen—if someone you love carries a severe allergy, please share it with us so we may speak honestly about risk and any gentle alternatives that could still feel joyful.
Say hello — we would be honored
If you have a moment, we would be so grateful if you skimmed the sections above first—they exist only to set kind, mutual expectations. When you feel ready, our inquiry address will appear here after a few tender questions in the Catering assistant (bottom-right corner); then, whenever it suits you, one organized email with the checklist below helps us answer with our whole hearts. For catering quotes we do not use Instagram DMs—only so nothing precious slips through the cracks.
With your patience, the inquiry email reveals itself here once you have strolled through the little Catering assistant below—beginning with Start catering inquiry and closing the final step. Those answers are never about gatekeeping; they simply help us greet every message with the warmth and clarity you deserve.
If it feels right, your first email might include…
- Event date(s) and the city or neighborhood where you hope to gather
- Guest count, or a cozy range you are still refining
- Venue name and whether we will be indoors, outdoors, or both
- The service window you have in mind (e.g., 7:30–9:30 p.m.)
- Style wishes: station, plated dessert, or a gentle hybrid
- Any must-have flavors or themes that would make you smile
- Dietary needs or allergen priorities we should hold close
- Planner or venue contact, if someone else is steering alongside you
We aim to answer within a few business days whenever volume allows. For very tight dates we may not always be able to say yes—reaching out a little earlier often gives us the breathing room to do our best work for you.
